Who we are

Sharp Accountax Ltd (“we”, “us”) is a firm of chartered accountants regulated by the Institute of Chartered Accountants in England and Wales. We are registered in England and Wales under company number 14346794. Our registered office is 128 City Road, London, EC1V 2NX. What this notice covers

This notice explains how we handle personal data collected through this website. Clients receive a separate privacy notice with their engagement letter that covers the data we process in order to act for them.

Data we collect through the website

Enquiry form. When you send an enquiry we collect your name, email address, phone number if you give it, business type, turnover band if you give it, the services you are interested in and your message. We also record the date and time, the page you sent it from, your browser’s user agent string and a one-way hash of your IP address, which we use for spam and abuse prevention.

Booking a call. If you book a call, the booking is made through Calendly, which collects the details you enter and shares them with us. Calendly’s own privacy notice applies to that data.

Analytics. With your consent only, we use Google Analytics 4 to understand how the site is used. It sets a cookie and records pages viewed, approximate location and device type. IP addresses are anonymised. If you do not accept analytics, no analytics cookie is set and nothing is sent to Google.

Anti-spam. Our enquiry form may be protected by Cloudflare Turnstile, which checks that a submission comes from a person rather than automated software. Turnstile processes limited technical data about your browser for that purpose.

Server logs. Our hosting provider keeps standard web server logs, including IP addresses and requested pages, for security and fault-finding.

Why we use it, and the lawful basis

We use enquiry data to respond to you and, if you become a client, to set up the engagement. The lawful basis is our legitimate interest in responding to enquiries about our services, and, where the enquiry leads to an engagement, taking steps at your request before entering into a contract.

We use analytics data to improve the website. The lawful basis is your consent, which you can withdraw at any time using the cookie settings link in the footer.

We use anti-spam and server log data to keep the website secure. The lawful basis is our legitimate interest in protecting our systems.

Who sees it

Enquiries are read by the firm’s director and client team. To deliver enquiry emails we use Postmark, a transactional email provider. The website is hosted by Hostinger. Calendly, Google and Cloudflare act as described above. Each of these providers processes data under a contract that restricts what they may do with it. Some of them may process data outside the United Kingdom; where they do, transfers are protected by the UK International Data Transfer Agreement or an adequacy decision.

We do not sell personal data and we do not share it with anyone else unless the law requires it.

How long we keep it

Enquiries that do not lead to an engagement are deleted twelve months after the last contact. A copy of each website enquiry is stored on our server as a backup for the same period. If you become a client, your data is kept in accordance with the client privacy notice and our professional record-keeping obligations. Analytics data is retained by Google for fourteen months.

Your rights

Under UK GDPR you have the right to access the personal data we hold about you, to have it corrected, to have it deleted where there is no good reason for us to keep it, to object to or restrict our processing, to data portability, and to withdraw consent where consent is the basis for processing. To exercise any of these rights, contact us at the details above. We will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would welcome the chance to resolve the matter with you first.

We will post any changes to this notice on this page and update the review date above.
